Focus on the essentials – train yourself a robot assistant

Job descriptions and responsibilities are sprawling in the digital age. People use multiple software in their work and information is received from many channels. As a result, the ability to concentrate is spread over a wide arrary of things and time is spent slowly entering data into different systems. At the same time, the core responsibilities of the work are at risk to suffer from all this. What if some of these routines could be delegated to a personal assistant? For a robot that each user can train themselves.

Consider for a moment, for example, a person working in the customer service of a company importing HVAC components: His or her responsibilities include order processing and advising customers on product selection and purchasing. Labor time is largely spent processing orders, as they often come in an unstructured format, typically email. As the emails are not standard, everything must be read carefully and the products to be ordered, the quantities and order references must be found and entered into the ordering system by hand. This takes a lot of time. This is time that could be availed serving customers.

May I offer a personal robot?

What if this could be facilitated by a robot that the employee can even train himself? The employee paints the relevant sections of the text contained in the order email: Product numbers, quantity of parts and order reference. He or she then points to the robot in which fields the respective data is entered in the ordering system. Soon, the robot handles the manual work steps completely independently and the person can focus on helping customers.

The future is already a reality

This is called hyperautomation and, for example, the implementation of the robot described above is possible by utilizing the Kofax Intelligent Automation solution which does not require a large and expensive IT project to implement hyperautomation. No one needs to write a single line of code but the user himself trains the robot assistant through the program’s interface.

How does Kofax IA work?

Kofax’s solution utilizes built-in artificial intelligence that allows the robot to

Learn to “read” unstructured data based on context (CDA): This means that it learns to identify relevant information from unstructured data, such as emails or their attachments, based on context.

Learn to pass forward the data it recognizes (RPA): This is closer to traditional software robotics that automates the process step (or steps in which we also talk about process management and process orchestration).

What makes Kofax an exceptional solution is its ease of use. The Kofax solution requires no coding and no huge amount of base data. The user teaches the robot what information it should look for in unstructured data and what to do with that data. The robot gets started in just a few lessons. The robot then repeats what it has learned until it encounters a situation where it does not know what to do. In this case it stops and asks the user for guidance. After the guidance the robot continues to be wiser than before.

And there you have a personal assistant built with Hyperautomation.
